This role is essential to the success of the ophthalmics franchise conference execution. The role will work closely with Shiresupport to track and submit approvals through the submission process. This position works closely with various internal and external stakeholders to ensure execution of all conference assets.

Meetings Program Management:

  • Maintain annual view and deadlines across national, regional, and local scope which identifies key meeting details (i.e., dates, location, attendees, Shire presence)
  • Ongoing management of meetings, sponsorships and associated budget. Including management of timelines.
  • Identify promotional opportunities at each meeting that align to Brand Strategy
  • Complete Meeting Event Forms for National and Regional conferences
  • Triage meetings to the correct point person on OBU team with Provider recommendation; field, market development, professional education, and media
  • conduct SWAT calls for marketing team

    Sponsorships Management:

  • Coordinate with Commercial Sponsorships and Meetings team to ensure tracking of sponsorships for approval of sponsorships and Marketing materials are ready for sponsorship benefits offered (i.e., maintain a tracker showing meeting was approved, assets were delivered)
  • Identification of sponsorships for promotional opportunities and track the timing & delivery
  • Identify all commercial sponsorship opportunities and ensure pull through and delivery, i.e. brand reminder ads, digital banners, survey’s etc.
  • Communication point for submissions to Shire Support
  • Address issues as received from Commercial committee member
  • Pull information and prospectus from organizations that Shire/Provider do not have information on yet and provide to commercial sponsorship member participation level
  • Identify if sponsorship is commercial, medical or patient advocacy
  • Sales Engagement:

  • Engage with Sales ZDs for booth staffing needs for regional, state, & local and then reach out to attendees to provide logistics, travel, registration, and accommodations (does not assist or do these for the field)
  • Ensure delivery of approved marketing materials (bag drop, print ad, etc.) to Sales for approved regional programs

    Other Activities:

  • Track symposium approval status and provide to Pro Ed team on symposia sponsorships as planned and identify timelines at risk for submissions/approval processes
  • Track exhibit presence (Booth size/spend) at each convention & attendee presence (Leadership, Marketing, Mkt Dev)
  • Track estimated budget and actual spend for each convention (including booth size/spend, tabletop, sponsorship opportunities, and catalog resources) – across cost centers (Marketing, ProEd, Sales)
  • Identify costs that exceed original agreement to Shire team to maintain efficiency and accuracy of agreed sponsorships and trade shows
  • Obtain & track booth lead, pre-reg lists, and attendee final count and responsible distribution to Commercial, Mkt Dev, Medical and Sale
  • Manage Table Top management process including shipments to and returns from field sales back to Visual Communications
  • Update/manage files on Shire Sponsorship SharePoint platform
  • Bi-Annual Sponsorship Planning Summit

  • Collaborate and organize an engaging and productive sponsorship planning meeting each year core team
  • Develops and provides pre-read information deck, and facilitates meetings

Additiona Items:

  • Bachelor’s degree required
  • Minimum of 4-6 years of related work experience required
  • Experience working in a highly-regulated biotech, pharma, or medical device company on or with a commercial team, e.g., marketing, business development, sales training, finance, procurement
  • Experience with sponsorships, conventions, grants required
